Hire Desk Controller

The Role

The Hire Desk Controller will be part of a team responsible for the day-to-day running of an increasingly busy hire and events department. They will be the contact point for the customer in the first instance.

Reports To

The Hire Desk Controller will report to the Technical Manager.

Responsibilities and Duties

  • Taking hire enquiries via telephone and email.
  • Quoting customers on their requirements, and managing expectations
  • Operate rental software to raise quotes, job confirmation and invoices
  • Checking availability of equipment and ensuring that equipment statuses are always up to date on our systems.
  • Liaise with the warehouse to ensure customers jobs are completed as required
  • Processing, and correctly storing delivery/collection notes.
  • Communicating effectively with other colleagues, and providing a helpful and friendly point of contact for enquiries.
  • Recharges/Damage and Loss; ensuring these are dealt with in a timely manner, notifying customers of any further charges.
  • Ensure that all administration tasks and processes are accurate and kept up to date.
  • Successfully generate or convert enquiries to orders
  • File and archiving when required
  • Taking on necessary training to improve on knowledge.
  • Be an ambassador of the Spotlight Sound brand, by communicating well with current and prospective customers

Skills and Qualifications

Essential

  • Previous experience in the AV/Sound & Lighting/Events industry is required
  • Good verbal and written standard of English
  • Familiar with AV/plant/tool hire software
  • Good knowledge of Microsoft packages, and computer skills in general.
  • Own transport

Desirable

  • A* - C GCSE or equivalent in Maths & English
  • Experience working in a technical role in the live events industry
  • Experience in handling AV equipment for events
  • Experience with HireTrack rental software
  • Experience with HubSpot CRM

Hours of Work

Standard working hours will be 37.5 per week, with time off in lieu for additional hours worked. In very busy periods it may not be possible for time off to be taken in lieu in any given month, therefore overtime may be paid where necessary.

Warehouse & Events Assistant

The Role

The Warehouse and Event Assistant will be part of a team responsible for the day-to-day running of an increasingly busy warehouse including maintaining and preparing equipment for events and hires. They will also be required to provide technical assistance for events, functions and installations where required.

Reports To

The Warehouse and Event Assistant will report to the Technical Manager.

Responsibilities and Duties

Warehouse

  • Assist with maintaining an organised and tidy warehouse
  • Operate rental software to manage equipment, including selecting and preparing equipment for hires, processing returns and adding new equipment and stock
  • Selecting, preparing and returning appropriate equipment for hires
  • Cleaning, testing and maintenance of equipment
  • Basic repairs of equipment including making cables and changing plugs
  • Be an ambassador of the Spotlight Sound brand, by communicating well with customers, couriers and delivery/collection drivers arriving at Spotlight Sound to collect or return equipment.

Events

  • To deliver equipment to site
  • To assist with installation and removal of temporary sound, lighting and video and staging for events
  • Liaise with clients in a professional manner to provide the best service possible
  • To assist with permanent installation of technical equipment and electrics

  • Basic technical knowledge (setting up sound and lighting systems)

Desirable

  • Experience working in a technical role in the live events industry
  • Knowledge of Health and Safety and safe working practices
  • Training and experience with Yamaha, Sennheiser and Avolites equipment
  • Competent at PAT testing
  • Experience with HireTrack rental software

Hours of Work

Standard working hours will be 37.5 per week, with time off in lieu for additional hours worked. In very busy periods it may not be possible for time off to be taken in lieu in any given month, therefore overtime may be paid where necessary. There may be long and un-sociable hours at times, therefore applicants will need to be flexible to accommodate evening and weekend work where necessary.

Commercial AV Installer / Engineer

The Role

The AV Engineer will be part of a team responsible for responding to service call jobs and installing AV, sound and lighting systems on site.

Reports To

The AV Engineer will report to the Director.

Responsibilities and Duties

  • Fault finding and rectifying issues with AV, sound and lighting systems at the client site
  • First and second fix AV, sound and lighting systems
  • Advising the client and service desk on necessary parts for rectifying issues
  • Completion of service reports and ticket management on company systems
  • Maintain a high quality of workmanship to Spotlight Sound standards
  • Taking on necessary training to improve on knowledge.
  • Be an ambassador of the Spotlight Sound brand, by communicating well with current and prospective customers

  • Experience with SoundWeb control systems
