Event Production Service
Corporate functions and private events, we can handle your technical requirements and take the stress and worry away from you. We aim to set the standard in technical production for events and specialise in producing individual and engaging events. Spotlight Sound are a creative event production agency based in Essex. Our technical experts and event managers will help you bring your event to life.
Practical Event Production Across the UK
We’re a creative event production agency that works with corporates, charities, councils, agencies, private clients, and venues. The work covers the full technical envelope — sound, lighting, staging, AV, and special effects — plus the coordination and on-the-day delivery that turns a brief into a working event.
Although we’re based in Chelmsford, Essex, we deliver event production UK-wide. Most of our work is across Essex, London, Hertfordshire, Kent, and Suffolk, but we travel further regularly. Recent work has included Bizzfest 2025 at Cressing Temple, the Medway Council VE Day commemoration, the Ford Transit 60th Anniversary in Chelmsford, and the Salvation Army Leigh on Sea event.
Live, Hybrid & Virtual Event Production
Modern events come in three formats. We deliver all three:
Live Event Production
Live event production is the core of what we do. We handle sound, lighting, staging, AV, and any specialist requirements for in-person events of every size — from intimate gatherings through to large festivals. The work covers full event production planning, on-site delivery, and post-event support.
Hybrid Event Production
Hybrid events combine in-person audiences with remote attendees joining via livestream. We handle the technical side — camera operation, vision mixing, audio for both audiences, streaming infrastructure, and platform integration — so the experience holds up for everyone, not just the people in the room.
Virtual Event Production
Virtual event production essex and UK-wide. For fully online events — webinars, virtual conferences, broadcast-style presentations — we handle the studio setup, presenters, graphics, vision mixing, and platform integration. The result is a production that looks professional rather than improvised, with reliable technical delivery throughout.
Who We Work With
We work with a range of client types, each with different needs and decision-making approaches:
Corporates
Corporate event production company work covers conferences, product launches, internal communications events, awards shows, and brand activations. The brief is usually clear, the budget is structured, and the technical requirements are detailed — we work to brief and deliver to spec.
Agencies
We work with marketing, PR, and creative agencies as their technical event production partner. The agency handles the creative concept and client relationship; we handle the technical delivery. This is one of our biggest workstream areas and we have long-term agency relationships built on consistent delivery.
Charities
Charity event production needs to be cost-effective without cutting corners on the parts that matter to attendees. We work with national and regional charities on galas, awareness events, fundraisers, and ceremonies. Recent work includes the Salvation Army Leigh on Sea event.
Councils & Public Sector
Public sector event production has specific procurement requirements and a higher bar on safety documentation and accessibility. We’ve worked with multiple councils across Essex, Kent, and the wider South East. Recent work includes the Medway Council VE Day commemoration in 2025.
Private Clients & Weddings
Private event production work is mostly weddings, milestone birthdays, and private parties. The dynamics are different from corporate work — the client is usually less technically familiar, but the event matters to them personally. We translate the brief into a working production plan and keep the communication straightforward throughout.
Venues
We work with several established venues in the South East as their go-to technical event production partner — Hylands House, Braxted Park, Osea Island, Greenwoods Hotel & Spa, and others. Working with the same venues over time builds trust and means we know what works in each space.
What Event Production Includes
Event production from Spotlight Sound covers the full technical envelope, designed around how the event needs to run:
- Sound: PA system specification, microphones, mixing consoles, monitor mixes for performers, comms for crew
- Lighting: stage lighting, atmospheric lighting, ambient lighting, lighting design and operation
- Staging: modular indoor and outdoor staging, trailer stages, ramps and accessibility
- AV & video: projectors, screens, LED video walls, camera operation, vision mixing, streaming infrastructure
- Special effects: haze, fog, snow, pyrotechnics — where the event brief calls for them
- Power & infrastructure: generator hire, distribution, cabling, RAMS, PAT testing certificates
- Coordination: schedule planning, supplier liaison, on-day production management
How Our Event Production Process Works
Every event we produce goes through a similar process, scaled to the event size:
1. Brief & Site Visit
We start with a conversation about what the event needs to do, what success looks like, and what constraints you’re working with — budget, venue, dates, attendees. For larger events we’ll do a site visit to understand the venue before quoting.
2. Technical Specification & Quote
We translate the brief into a working technical spec — what equipment, what crew, what schedule. The quote is itemised so you can see what’s included and where the costs come from. If there are alternatives (different equipment options, different service levels), we’ll explain the trade-offs.
3. Pre-Production Planning
Once we’re booked, we start the planning detail — supplier coordination, equipment scheduling, crew briefing, risk assessment and method statements, accessibility planning, and venue liaison. For larger events this can run for weeks or months ahead of the date.
4. On-Day Delivery
On the event day, our crew installs the equipment, tests everything, and runs the event. There’s usually a dedicated production manager on-site as the single point of contact for any questions or last-minute changes. We’re set up to handle the unexpected — kit changes, schedule changes, weather changes.
5. Post-Event Support
After the event we de-rig the equipment, clear the site, and follow up with you on how the event went. For ongoing clients (agencies, venues, repeat corporate work) the conversation often moves straight on to the next event.
How Much Does Event Production Cost?
Event production costs vary significantly based on event size, technical complexity, crew requirements, and duration. As a guide:
- Small private and corporate events: £1,000–£3,500 for basic sound, lighting, and AV with a small crew
- Mid-size events (conferences, mid-size weddings, charity galas): £3,500–£15,000 depending on technical spec
- Large events (festivals, major corporate launches, multi-day events): £15,000+ scaled to spec and duration
These ranges are indicative — every event is different and the quote we produce reflects the specific brief, not a fixed package. Send us your brief and we’ll come back with an itemised quote within 24 hours.
