AV Hire for Events & Weddings
End-clients running their own events — weddings, corporate events, private parties, school productions, community events — make up most of our hire work. We deliver, install, and support the equipment on-site, then collect after the event. For smaller events, dry hire is also available.
AV Hire for Venues
Venues hire AV from us to supplement their own kit for larger events, or to outfit specific event spaces without buying outright. We work with venues across the South East — including some long-term ongoing relationships — and we know how to integrate hire equipment with what’s already installed.
AV Trade Sub-Hire
Other AV companies, production firms, and tour suppliers sub-hire from us when they need to top up their own stock for a larger job. The sub-hire process is straightforward — we know what trade clients need (clean documentation, reliable kit, no surprises), and we work with most of the major brands in case you need a match.
Dry Hire
For clients who want to handle install themselves, dry hire is available for most equipment categories. You collect from our Chelmsford warehouse, run the event, and return the kit. We supply the equipment with a clear handover and PAT testing certificates; we expect it back tested and clean. Dry hire is most popular for smaller events and trade sub-hire.
How Our AV Hire Process Works
AV equipment hire from Spotlight Sound follows a similar process across most jobs:
Brief & Spec
You tell us about the event — venue, date, audience size, what you need the AV to do. We translate that into a working equipment list. For smaller events the spec is usually quick; for larger events we’ll often do a site visit before quoting.
Quote & Booking
We send an itemised quote covering equipment, delivery, install, and any crew. Once you confirm, the equipment is reserved for your dates. For trade sub-hire, we work to your delivery deadline and confirmation usually moves faster.
Delivery & Install
For installed hire, our crew delivers, sets up, and tests the equipment on-site. For dry hire, you collect from our warehouse — we’ll walk you through the kit before you take it. Either way, you get clear documentation: PAT certificates, RAMS where needed, and an inventory of what you have.
On-Day Support
During the event, we’re contactable if something goes wrong. For installed jobs there’s usually a crew member on-site or a dedicated production manager as your point of contact. For dry hire, we’re available by phone for any issues with the equipment.
Collection & Wrap
After the event we collect the equipment, check it back in, and you’re done. For trade sub-hire, the return process is similar — we expect kit returned tested and clean, and we’ll let you know about any damage or missing items.
How Much Does AV Equipment Hire Cost?
AV hire pricing depends heavily on what you’re hiring — a single PA speaker for a wedding sits in a different price band from a full festival production package. As broad guidance:
- Small individual items (a pair of speakers, a single projector, a handful of mics): from low daily rates
- Mid-size event packages (sound + lighting + AV for a wedding or corporate event): £500–£3,000 depending on spec
- Large event packages (full conference, festival, or large corporate event): £3,000+ scaled to spec, duration, and crew
